If you find yourself frequently answering similar emails in Outlook, I have a great tip for you. You can save your replays as templates so you can access them whenever you need. This way instead of writing out your text from scratch every time, you can save time and use predefined text blocks with a click of a button. Let me show you. (electronic music) Before we get started, a brief thanks to Skillshare, the sponsor of todays video. Now I have a special link for you. Its in the description of this video. Im going to chat more about them and their classes towards the end so stay tuned for that. Now there are two great methods you can use to answer emails with a saved reply template. Number one, the free My Templates add-in, and number two, the Quick Parts feature. Lets start with My Templates. Now whats great about My Templates is that theyre stored within your mailbox. So theyre also available to you when youre using another computer or Outlook on the web. Lets take a look.

HTML formatting allows you to change the format of the text in your email as well as include pictures. Formatting options include font, font size and color, font style (bold, italic, underline), highlight color, indent and spacing, and bullet and numbering styles.
Go to File Options. In the Outlook Options dialog box, select Mail. In the Compose messages section, select the Compose messages in this format dropdown arrow and select either HTML, Plain Text, or Rich Text.
Outlook always uses the format of the original message for the format of a reply or forward. Thus, if someone sends you a Plain Text message, Outlook will reply using Plain Text and that format doesnt support fonts and styles.
Plain text messages Some mobile email clients still do not support HTML emails. Various mechanisms used by websites (e.g. contact forms) tend to use the plain text format. Some organizations convert all of their outgoing messages and even their incoming emails to plain text for security reasons.
While HTML email still has issues, most notably with compatibility, it still wins in the end. Plain text emails are often reliable in terms of email deliverability. Still, when it comes to overall user experience, visual display, and brand consistency, HTML wins out, hands down.
A plain text email is as it sounds: Its a simple email message that only includes text. There are no images or graphics and no formatting. Youll also notice all the links are written out.
Change display size text On your device, open the Settings app. Search and select Font size. To change your preferred font size, move the slider left or right.
Separate topics by paragraph. Keep your topics short and concise and separate them by a double-space. Paragraphs in email should not be indented, either.
Read email messages in plain text Click the File tab. Click Options. Click Trust Center, and then click Trust Center Settings. Click Email Security. Under Read as Plain Text, select the Read all standard mail in plain text check box.
The standard email font size is 11 to 12 point, and for subheaders, 13 point works. You want it large enough to be read on desktop and mobile devices, but not so big that it comes across as shouting.
