Hi, welcome to this short video series on how to format, import, and auto code NVivo header formatted transcripts. In this first video, Im going to show you how to format Microsoft Word transcripts with heading styles before you import them into NVivo. Now, there are 2 key elements youll need format into your transcripts before you import them into NVivo. The first one is, all your speaker identification, questions, topical headings, must in standalone paragraphs. The second, you must apply consistent heading styles to the identifier, questions, or topical headings. Now lets get to it. Here we have a typical transcript, with the speaker identifier, Mike, who is the interviewer, and Matt who is the interviewee or the respondent. And in the transcript, we have everything that Mike said and everything that Matt said. So keeping in mind the 2 key elements that you need to have in an NVivo header formatted transcript, the first element is that the speaker identifier must be in a standa

Adjusting your report body closer to the header Use File Page Setup to access your layout settings. Click Customize for your header/footer document to edit it. While editing the document, click Insert Header to access that area. Reduce any blank or empty space in your header that is below your information.
Change or remove header footer margins On your computer, open a document in Google Docs. Click in a header or footer. At the top left, click Format Headers footers. More options. Under Apply to, choose a section or the entire document. Enter your margin sizes. Click Apply.
Try it! Select Layout Margins. Select Custom Margins. In Margins, use the Up and Down arrows to enter the values you want. Select OK when done.
Right-click the Heading Style and then select the Modify option. At the bottom of the Modify Style dialog there will be a button that says Modify, click this button. Select the Paragraph option. Within the Paragraph dialog change the option for Spacing, After to be a lower number.
OK, so thats likely to be a spacing issue. Right-click in the header Paragraph and check all the indentation and spacing options are set to 0cm/0pt.
Since the amount of content entered in a header or footer can vary, the height may need to be adjusted to fit all the text. Click the Page Layout tab. Click the Margins button. Select Custom Margins. Enter a new height for the header or footer. Click OK.
Double-click on the header and hit the down arrow. If there are extra lines in the header, below the page number, delete them. Make sure there isnt extra space between your text and the top of the page. Double-click within the header or footer to edit them. Click the Design tab. See the below screenshot:
