Press Ctrl+1 to load the Format Cells dialog. Select the Number tab, then in the Category list, click Custom and then, in the Type box, type the number format, such as 000-00-0000 for a social security number code, or 00000 for a five-digit postal code.
Add an apostrophe to change number to text format If these are just 2 or 3 cells in Excel where you want to convert numbers to string, benefit from adding an apostrophe before the number. The nine-digit SSN is composed of three parts: The first set of three digits is called the Area Number. The second set of two digits is called the Group Number. The final set of four digits is the Serial Number.
Click the corner of the cell, with the "+" sign still showing, and drag the cursor down through the column until you reach the cell to the right of the last Social Security number in the list. Release the cursor, and the remaining SSNs will appear without hyphens.
The SSA web site describes some very basic rules for SSNs. If hyphens are present in SSNs, there should be one between the area and group numbers and another between the group and serial numbers. Without hyphens, an SSN should have nine digits and nothing else.
Here's how: Click Open in Excel. Select the cells containing the data you want to format. Click the Format Cells box launcher. Tip: You can also press Ctrl+5. In the Format Cells box, under Effects, click Strikethrough. Save the workbook and reopen it in Excel for the web to see the changes.
Change the CSV file to a TXT file: Replace the CSV extension with TXT. In Excel, go to File > Open. Change File of Type to All. Go through the three-step wizard and, in step three, select the column of data and import it as a text field. Excel no longer strips the leading zeroes.
