up in Preview. Now once its opened in Preview go to File and then Export. Now you can choose a smaller file format like PDF medium quality or PDF smallest file size. We want to use the medium quality because we still want a decent printout. The smallest file size is going to deteriorate the image a bit. Now once you choose that you can go and choose a location to save it. Like I can save it back to the same folder and then hit Save. Now you can see that it asks you for a title to save. You can leave that blank or you can just give it a new name. For instance here Ill give it the name of the file bill2. And you can see it updates the file size. Command i to get information on it. And now its 2.1 MB. So thats a pretty substantial difference there in file size. Now you can go and decide you know what I want it even smaller. Maybe I dont need it quite this quality. So you can go back to Preview and then Export and choose smallest file size. And save it again. And now its down to 1.8 MB. So thats even smaller. You can keep doing this over and over again and compressing it even more. Choose smallest file size to get the smallest file size. However its going to get faster and faster to do this. So its really not a practical solution if you have to do this all the time. However theres something called Automator in your Applications folder and that comes with your Mac. You can use it to create a custom compress PDF action so you can do this compression really quickly. So heres how you do it. First lets make sure you have Automator. So go to your Applications folder and look for it. You can also search for it with Spotlight. Once you have Automator open go to File and then New. And this is going to create a new workflow. Now you can do all sorts of great things with Automator but lets just do the basic here. Choose Quick Action and hit Choose. Now youll get this screen. Just get rid of this Welcome to Quick Action by hitting whatever button it takes to dismiss it. Now youll have a new workflow and you want to do something with PDFs you know like compress them. So type PDF in here to search for something and then choose Filter PDF Pages and drag that into the workflow. Now choose again type PDF to find other actions and choose Export Bookmarks as PDF. And drag that in. Now double-click on Export Bookmarks as PDF and youll get the settings. Choose the type medium quality. Then go back to Filter PDF pages and youll see you can add parameters. Now the sample PDF I had well I know is just one page so I dont need parameters. But if I had a multi-page PDF and maybe I wanted to skip the first page and go to the second page I can use this to do that. But in this case I dont need that so lets just ignore that. Now we want to save the compressed file with a new name. So search for Move Finder Items and drag that in. And then move this Compressed PDF to where you want it. You can just put it on the desktop or put it in a subfolder or whatever. It doesnt really matter. And then you can change this name here if you want. You can keep the original name and add something to it or just give it a brand new name. For now I will just leave it with the original name. And then save this by going to File and then Save. And give it a name for instance Compress PDF and hit Save. Now it will show up in your Quick Actions library in Finder and also in other places like Preview. So lets go and see how this works. So heres our sample file here. And you want to do Command i and you can see the file size. Then go to File and then Quick Actions and then look for the Compress PDF right there. Double-click it. It will compress it. And then it will move this Compressed PDF to wherever you specified. In this case its just going to go to the desktop. And then thats it. You can go and see the file size which is 2.1 MB down to the new file size. And you can see it compresses it quite a bit. Now you can edit this Quick Action if you want by going and finding it in Finder. So go and look where you saved it. In this case its saved in the Library folder under PDF Services and then you can see its right there. This is the file that you created. Double-click on it and it will open up in Automator and you can make changes. For instance maybe you want to change the type to smallest file size. And thats it. Hit Save. And then go back to your file. Do Quick Actions. Compress PDF. And now it will compress it even smaller.
