The more your number is out there, the greater the risk of identity theft. Guard the Final Four. Although most widely used and shared, the last four digits are in fact the most important to protect.
To truncate or trim a Social Security Number, the employer can use asterisks or Xs to replace the first five numbers of the Social Security Number. For example, a Truncated Taxpayer Identification Number may be displayed on a document as -XX-1234 or ***-**-1234.
However, it is imperative that employers do not truncate the Social Security Number, or any other identifying numbers, on Copy A of the Form W-2, the copy going directly to the Social Security Administration.
SSA assigns SSNs to individuals when an application has been filed to request the assignment of a number. SSA does not delete, destroy, rescind, inactivate, or cancel SSNs once they are assigned. However, under some situations SSNs are marked as void.
A masked SSN is an alternative to using the complete SSN, IRS Individual Taxpayer Identification Number (ITIN), or IRS Adoption Taxpayer Identification Number (ATIN). The masked SSN displays only the last four digits of an individuals identifying number and is shown in the format -XX-1234 or ***-**-1234.
Truncation of SSNs on employee copies of Form W-2 is voluntary. You are not required to truncate SSNs on employee copies of Form W-2.
You cannot truncate your own identification number. These rules do not apply to Form W-2.
A filer may not truncate a payees identification number on any forms filed with the IRS or with state or local governments, on any payee statement furnished electronically, or on any payee statement not in the Form 1098, Form 1099, or Form 5498 series. A filers identification number may not be truncated.
