#3 Using Excel Formulas Apart from selecting from cells and entering data manually, you can also use a formula in the source field to create an Excel drop down list. Any formula that returns a list of values can be used to create a drop-down list in Excel.
On the Settings tab of the Data Validation dialog window, select Custom in the Allow box, and enter your data validation formula in the Formula box. Click OK.
Use names in formulas Select a cell and enter a formula. Place the cursor where you want to use the name in that formula. Type the first letter of the name, and select the name from the list that appears. Or, select Formulas Use in Formula and select the name you want to use. Press Enter.
Time - The user should enter a time. Text Length - It validates input based on the length of the data. Custom - It validates the user input using a custom formula.
Unfortunately there is no way to enter such a function directly within validation list dialogue / source.
The range of formula within Excel is great. Most of the day to day functionality that you need is there but if you find that you need to do a different calculation that is not built in then you can create what is called a User Defined Function (UDF).
If your worksheet is protected, then the Data Validation option isnt available. In the Ribbon, select Review, Protect Unprotect Sheet to remove the protection. This enables Data Validation.
Click on the Home tab and then click Conditional Formatting. A menu will drop down containing several sets of preset rules that you can choose as well as options to create a new rule or edit existing rules.
You can also enter a formula that returns a number value. For example, say youre validating data in cell F1. To set a minimum limit of deductions to two times the number of children in that cell, select greater than or equal to in the Data box and enter the formula, =2*F1, in the Minimum box.
You can create a simple formula to add, subtract, multiply or divide values in your worksheet. Simple formulas always start with an equal sign (=), followed by constants that are numeric values and calculation operators such as plus (+), minus (-), asterisk(*), or forward slash (/) signs.
