On a new line write a salutation, such as Dear Ms. Smith, or To Whom It May Concern. Write the body of your letter in a standard paragraph format. On a new line write a complimentary close, such as Sincerely, or Best,
To ensure you include sufficient background information about yourself, you should: Begin with a formal greeting and elaborate on the purpose of the letter. Provide more details about yourself and highlight key skills, qualifications, and accomplishments. If possible, mention a mutual acquaintance.
You will know the recipients name in most situations, so the salutation should be Dear, followed by Mr. or Mrs. and the recipients last name. If you are addressing a larger group of people, the salutation can be To, followed by the name of the organization or department you are addressing to.
First include your name, address, phone number, and the date. This information should be located at the top of the page, either in the center, or indented on the right side of the paper. You then include the name and address of the person to whom you are sending the letter.
The best option for an opening line in a formal letter is to tell the person why you are writing the letter: --Dear Mrs. Smith, --I am writing to + verb. The sentence should state your reason---I am writing to inform you
Dear is the standard opening line for all letters, but it may not be appropriate in some situations. Most business situations allow this opening to be used, but if you feel it may not be appropriate, simply starting off with the recipients name is a good alternative.
While To whom it may concern: and Dear sir or Dear madam are appropriate ways to start a business letter, using the recipients name in your salutation will make your business letter feel much warmer and more personal.
After writing the date and the recipients contact information, open with a greeting. Formal letters begin with Dear and the name of the person receiving your letter. If you dont know the name, write the job title or department. Only use To Whom It May Concern as a last resort.
