When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone.
If someone within the DHS asks for PII in digital or hardcopy format, the first step you should do is verify the identity and authorization of the requester. This is crucial to ensure that the request is legitimate and to protect the privacy and security of personal information.
Two acceptable methods for disposing of paper records containing PII are using a cross-cut shredder or placing the paper(s) in a burn bag. Do not use a recycle bin to dispose of paper records containing personal information / PII.
