Both individuals and organizations need to control how personal information is shared. This can be quite challenging, especially for organizations in dynamic environments. So, how can organizations secure PII data to stay in compliance with regulations? Well, organizations will need to: Identify and classify all sources of PII data that it has in its control and know where the data is at all times. Control access so that only authorized personnel can access to view or perform actions on PII data. This can be done at runtime using ABAC and dynamic authorization. Secure information sharing through fine grained access controls or encryption wherever it goes. PII data can be obscured or masked for safe sharing. Audit and monitor how, where and when the PII data is used to demonstrate compliance with privacy standards. Answer: Make a photocopy of the document you dont want to redact the original. On the photocopy, use a black marker to conceal the PII that you want to redact. Photocopy the redacted document. Save the 1st photocopy (with the black ink redaction) with the original, to show the redaction effort.
When you redact PII, you are removing part of the information from your document so that it cannot be used to steal your identity or the identity of others. As the document filer, you are solely responsible for ensuring that PII is redacted. The Clerks Office may NOT redact PII for you.
Select the text you want to redact by highlighting it. Right-click on the selected text and choose Font from the drop-down menu. In the Font dialog box, check the box next to Hidden under the Effects section. Click on the OK button to apply the redaction.
Two acceptable methods for disposing of paper records containing PII are using a cross-cut shredder or placing the paper(s) in a burn bag. Do not use a recycle bin to dispose of paper records containing personal information / PII.
What are the Best practices for Redacting your data? Use blackouts or whiteouts: This is a physical way of redacting data. Use software: A few different software programs can help you redact data. Remove the data: Another option is simply removing sensitive data from the document.
While there are numerous methods for anonymizing PII, a quick and efficient method is to use unique identifiers to replace some of the PII, such as names and personal health numbers (PHNs). Creating Unique Identifiers: Identify which PII need to be anonymized. In this example, we will use First and Last Name.
