How to void a check already issued Select Accounting from the left menu. Select Chart of Accounts at the top. Select the bank account the check you need to void was recorded under and choose View Register. Locate the desired check and click to highlight. Click Edit. On the bottom center click More and select Void.
Go to Bookkeeping then Transactions then select Expenses (Take me there), or go to Expenses (Take me there). In the Expense Transactions list, locate the check to void. From the Action column, select Void from the View/Edit ▼ dropdown menu. When prompted, select Yes to confirm you want to void the check.
When you void a transaction in QuickBooks, you still have a record of the transaction, but it wont affect your account balances or reports. When you delete a transaction in QuickBooks, the transaction is completely erased from your books, and it wont appear on any reports or in any accounts.
Unless you are voiding a check in the same month it was issued, the better way to void a check is to enter a journal entry. The journal entry can be made through the Company menu and Make General Journal Entries. Use a date after your last bank reconciliation was completed.
Void or delete the transaction Go to Bookkeeping, select Transactions, then select All Sales (Take me there) or Expenses (Take me there). Find the transaction. In the Action column, select the small arrow ▼ icon and then select Void or Delete.
Create a reversing Journal entry to void a transaction Enter the accounts in reverse based on the printed transaction journal. Example: If the transaction you want to void is a bill payment, debit the bank account then credit accounts payable. Select Save, then close the window. The transaction is now voided.
Voiding a check will place a Stop Payment on the check.
If a check was voided in the current month but was written in the previous month and appeared on the previous months list of outstanding checks, you should write a journal entry to do the following: Debit Cash. Credit the account(s) that was debited when the check was originally recorded.
By deleting the invoice, users will be permanently removing it from their company file. On the other hand, voiding an invoice cancels a particular payment or invoice. Voiding an invoice will keep the invoice number and list it in reports but changes the amounts to zero.
For good bookkeeping, its better to void a transaction, when you can, rather than delete it so you keep a record of the transaction. You can delete all transaction types in QuickBooks, but you can only void certain transaction types.
