Separating City State and Zip in Excel can be done in a few simple steps: Highlight the cells containing the city, state, and zip information. Go to the Data tab and click on Text to Columns Select the Delimited option, and then click Next. Check the box next to Comma, and then click Next.
Type the formula =SUBSTITUTE(Cell1,-,) into the fx text box. You can replace the Cell1 section with the name of the cell you want to delete dashes from and press the enter button on your keyboard. Continue using the SUBSTITUTE formula to delete dashes from individual cells throughout your Excel spreadsheet.

To extract ZIP codes from addresses in Excel, formulas like RIGHT, MID, and TEXTAFTER can be utilized. The RIGHT function is effective when ZIP codes are at the end of the address string. For an address where the ZIP code is in a fixed position, the MID function can retrieve the ZIP code.
Follow the steps below to shorten to five digits: Insert a new column to the right of your current zip code column. Type or copy and paste =LEFT(C2,5) , replacing C2 with your cells identifier. Drag the formula down the rest of your column.
Apply a predefined postal code format to numbers Select the cell or range of cells that you want to format. On the Home tab, next to General, in the Number Format box. In the Format Cells dialog box, under Category, click Special. In the Type list, click Zip Code or Zip Code + 4.
If youre importing addresses from an external file, you may notice that the leading zeros in postal codes disappear. Thats because Excel interprets the column of postal code values as numbers, when what you really need is for them to be stored and formatted as text.
