If you own a bakery and someone purchased a $20 gift card from you, you possess their $20 bill (an asset) but you owe them a cake (a liability). In other words, a customer will return to your business to use the gift card, and you'll need to be ready to provide your goods and services at that time.
Here's how: Go to the Customers menu. Select Enter Sales Receipts. Fill in the customer's info, including the Date and Sales No. Line one, Gift card item, quantity, and amount. Click Save & Close.
When a company sells a gift card, the cash it receives is recognized as a liability until the gift card is redeemed for goods or services. Upon redemption, then the company reverses the liability and recognizes the revenue.
To illustrate how this works, imagine your client sells a gift card for $100. To record the transaction, you note $100 as a credit in the gift card deferred revenue category. If you use double-entry bookkeeping, you also note the gift card's sale as a debit in the cash column.
Accounting for the Sale of Gift Certificates The sale of a gift certificate should be recorded with a debit to Cash and a credit to a liability account such as Gift Certificates Outstanding. Note that revenue is not recorded at this point.
What is the Accounting for Gift Cards? The essential accounting for gift cards is for the issuer to initially record them as a liability, and then as sales after the card holders use the related funds.
Because a product or service must be provided to the holder of a gift card, the company has an obligation and a liability is reported. The liability is later reclassified as revenue when the card is redeemed because the earning process is substantially complete.
The company cannot record revenue when the gift card is purchased since the company is obligated to provide service at a later date. Therefore, the income is deferred and recorded as an obligation until the customer redeems a gift card, service is provided, and contract terms are satisfied.
Can Gift Cards Be Traced? Gift cards tied into credit card networks, such as Visa prepaid cards, can be traced. For gift cards tied to individual merchants, it depends on what systems and processes the merchant has in place.
Accounting for the Sale of Gift Certificates The sale of a gift certificate should be recorded with a debit to Cash and a credit to a liability account such as Gift Certificates Outstanding.
