VAT invoice requirements A unique, sequential invoice number. Your business name. Your registered address. Your VAT number. An issue date. A date of supply. Your customers name and address. A description of the goods or services provided.
HMRC allow VAT to be recovered on simplified VAT receipts, where the sale is under 250 (including VAT). The following information needs to be contained on a simplified VAT receipt: The sellers name and address. The sellers VAT registration number.
Only VAT-registered businesses can issue VAT invoices and if youre VAT-registered, you must issue a VAT invoice whenever you supply standard rate or reduced rate goods or services to another VAT-registered person. Normally you must issue a VAT invoice within 30 days of the date you make the supply.
Although your proforma invoices should usually contain details about VAT, there are a few instances when its better to leave this information out. Firstly, if youre not registered for VAT, you should never include details about VAT on any invoice you issue. This applies to both proforma and finalised invoices.
If payment is made, the goods or services will be supplied and a VAT invoice should be issued for accounting purposes. A pro-forma invoice, in normal circumstances, cannot be considered to be an accounting document and has no place in the books of account of the trader either issuing or receiving it.
The only difference between a standard VAT invoice and a simplified invoice is the amount of detail given about the transaction being documented. Againthe total amount billed on the invoice will dictate whether or not a simplified invoice can be sent. It must fall below the relevant countrys threshold.
A simplified invoice includes most of the same information as a full invoice, excluding the date, the customers details, subtotal, total VAT amount and the price and quantity of each item. Its a very basic invoice version to show the total amount to be paid by the customer.
