The format of a formal letter typically includes the senders address, date, recipients address, salutation, body paragraphs, closing, and the senders signature. It is important to maintain a professional tone and adhere to standard conventions in formatting a formal letter.
Your address should go in the top-right corner of the page. Leave a line and then, underneath your address, write the date. Once youve written the date, go over to the left side of the page. Write the recipients address on the line underneath the date, on the opposite side of the page.
Most formal letters start with Dear, followed by the name of the recipient. Sometimes, this might be their title, followed by their surname, (e.g. Dear Miss Brown) but it could also be their full name (e.g. Dear Anne Brown).
The Heading The heading contains the return address with the date on the last line. Sometimes it is necessary to include a line before the date with a phone number, fax number, or e-mail address. Often there is a line skipped between the address and the date.
Your full name should be on the first line. Your full address, including postcode, should be underneath this (using separate lines for each new line of your address). Your email address should then be immediately underneath this. The date (writing the month and year in full) should immediately follow beneath this.
The alignment for a formal letter is usually left-aligned, meaning the text is aligned with the left margin and has a ragged right edge. However, you can also use justified alignment, which makes the text evenly spaced between the margins, or center alignment, which places the text in the middle of the page.
Align your text to the left and make sure your writing is single-spaced, with a blank line between paragraphs. There should be a two-inch margin at the top and bottom of the document and a one-inch margin on both sides.
