The purpose of a proforma invoice is to show how much goods or services will cost to help the customer decide if they want to go ahead with the purchase.
For supplies of goods, invoices are raised as soon as the goods are delivered with payment terms of 30 days from the invoice date. For supplies of services, invoices should be raised monthly in advance, the first two months being payable on commencement of the contract.
A pro forma is used before goods are shipped and no payment is required. A commercial invoice is sent after the goods have been delivered and now, it is time to pay.
The purpose of a proforma invoice is to show how much goods or services will cost to help the customer decide if they want to go ahead with the purchase.
Once the final proforma invoice is accepted by the buyer, it should be signed by the authorized buyer/importer and returned to the exporter.
A proforma invoice includes a description of the goods, the total payable amount and other details about the transaction. It is essentially a good faith agreement between you (the seller) and a customer so the buyer knows what to expect ahead of time.
Proforma invoices can and do often show VAT, but to claim VAT, a buyer needs a full, finalised VAT invoice.
Although your proforma invoices should usually contain details about VAT, there are a few instances when its better to leave this information out. Firstly, if youre not registered for VAT, you should never include details about VAT on any invoice you issue. This applies to both proforma and finalised invoices.
A pro forma invoice acts as an agreement of good faith between seller and buyer. The terms stated such as price, quantity, etc. are negotiable. It is visibly labeled proforma invoice and has no invoice number, which means it is not useful for accounts payable, unlike sales invoices.
Like a regular invoice, proforma invoices should include contact details, a date of issue, a description of the goods or services provided, the total amount due, and any VAT. They might also include payment terms such as which methods of payment you accept and when payment is expected.
