The format of a formal letter typically includes the senders address, date, recipients address, salutation, body paragraphs, closing, and the senders signature. It is important to maintain a professional tone and adhere to standard conventions in formatting a formal letter.
Write the Greeting and the Body. After writing the date and the recipients contact information, open with a greeting. Formal letters begin with Dear and the name of the person receiving your letter. If you dont know the name, write the job title or department. Only use To Whom It May Concern as a last resort.
Professional letters should be simple, short, and written in business format using a traditional font. Length of the Letter: Most formal letters are no more than one typed page. Margins: Use one-inch margins and left justify your text. Spacing: Single space your letter and leave a space between each paragraph.
Your full name should be on the first line. Your full address, including postcode, should be underneath this (using separate lines for each new line of your address). Your email address should then be immediately underneath this. The date (writing the month and year in full) should immediately follow beneath this.
If a letter contains two or more pages, use page numbering: an indicator (/2) at the bottom of each preceding page, flushed right, and page numbers themselves, centred at the top of each page.
The North American paper sizes are based on traditional formats with arbitrary aspect ratios. The most popular formats of the traditional sizes are the Letter (8.5 11 inches), Legal (8.5 14 inches) and Tabloid (11 17 inches) formats.
Letter Expressions Vary depending on The Style of Writing Informal letters begin with Dear + Name of the Receiver and ends with Best Wishes/Regards + Your First Name. Formal letters begin with Dear Sir/Madam and ends with Yours Faithfully + Full Name.
Most formal letters start with Dear, followed by the name of the recipient. Sometimes, this might be their title, followed by their surname, (e.g. Dear Miss Brown) but it could also be their full name (e.g. Dear Anne Brown).
