In this video, Emeizmi Mandagi from the Asylum Seeker Advocacy Project (ASAP) explains how to send documents by mail, focusing on USPS and private shipping services. USPS, the national post office in the U.S., offers various services. The first method discussed is regular mail, which requires affixing stamps to envelopes based on package size and weight; each stamp costs 55 cents. The number of stamps needed can be determined by post office staff. Regular mail is the slowest shipping option and is typically used for non-urgent shipments.

HIPAA does not prohibit the electronic transmission of PHI. Electronic communications, including email, are permitted, although HIPAA-covered entities must apply reasonable safeguards when transmitting ePHI to ensure the confidentiality and integrity of data.
Isnt that against HIPAA? Sending PHI via unencrypted email does not violate HIPAA, but Covered Entities and Business Associates must take reasonable steps to ensure the patient understands and acknowledges the risk of unsecured email transmission.
Emails including PHI shouldnt be transmitted unless the email is encrypted using a third-party program or encryption with 3DES, AES, or similar algorithms. If the PHI is in the body text, the message must be encrypted. If its part of an attachment, the attachment can be encrypted instead.
So, although emails can be HIPAA compliant, it requires docHub IT resources and a continuing monitoring process to ensure that authorized users are communicating PHI in adherence with policies for HIPAA compliance for email.
Authorization can be written directly on the delivery notice (on the back of PS Form 3849) or on plain paper (simply a note on paper saying that a name has permission to pick up mail for my name, and then it needs to be signed) from the addressee.
Can I authorize someone else to pick up my USPS Hold Mail? You have the option to authorize a third party to pick up your held mail by providing written permission to the appropriate Post Office location. The third party that you authorize will need to present Acceptable Forms of Identification.
Ensure that no personal health information is in the subject line of the email. Only place essential information in the body of the email. Personal health information should be sent as an encrypted attachment. Whenever possible, reduce the amount of sensitive information in the body of the email.
There is a common misconception that email is a secure way to send and receive PHI. On its own, email is not a secure platform to transmit PHI. In fact, using Googles email service, Gmail, to send PHI without encryption is against Googles Terms of Service.
