Patient information should only be faxed to fulfill a treatment, payment or healthcare operations obligation or a specifically authorized request (see COMP. 103 Use and Disclosure of Protected Health Information).
Electronic medical records (EMRs) and electronic health records (EHRs) are often used interchangeably. An EMR. allows the electronic entry, storage, and maintenance of digital medical data. EHR contains the patients records.
The days of receiving faxes and having to scan them into your EHR manually are gone! Electronic Faxing allows doctors and office staff to easily and quickly send and receive faxes through a fax line, directly from within the ChartLogic EHR software.
HIPAA compliant faxes containing protected health information should always include a cover sheet that includes a confidentiality statement, as well as the name of the recipient, their fax number, and the name, organization, and contact information of the sender.
Yes, faxes are considered to be secure. One of the reasons for fax security as opposed to the security of other Internet or mobile-based communications is that fax machines communicate via phone lines, not the Internet. Phone lines are more difficult to compromise than public internet and Wi-Fi connections.
Fax machines used to transmit PHI should always be located in a secure area to ensure that faxes containing PHI can only be read by authorized personnel. Open reception areas or other non- secure locations are not appropriate for sending or receiving faxes containing PHI or other confidential information.
Hospitals and doctors offices use different database systems to house their records and these systems are rarely able to communicate with each other through digital means; fax allows healthcare providers to securely and promptly share patient information.
Faxing from Epic is as easy as selecting the fax number and clicking send. Healthcare professionals can fax physicians notes, referrals, lab results, scheduling, health records, and more. The fax status is returned and logged to the patient record supporting Meaningful Use.
EMR stands for electronic medical records, which are the digital equivalent of paper records, or charts at a clinicians office. EMRs typically contain general information such as treatment and medical history about a patient as it is collected by the individual medical practice.
When sending a fax, include a cover sheet indicating the date and time sent; the recipients name and fax number; and the senders name, organization and phone number. The fax cover sheet should NEVER include a patients name or any other PHI. 2. Include a privacy statement in the fax cover sheet.
