How to communicate policy changes to employees Be very clear about these changes. Consider face-to-face communication. Ensure new work policies are easy to find. Use employees as champions. Provide adequate training. Ask for employee input when writing company policies. Be open to two-way communication.
I hereby acknowledge that I understand that it is my responsibility to read the Handbook and familiarize myself with the policies contained therein. I agree to comply with all of the policies and procedures applicable to my position.
Get to the point immediately by stating the new or changed policy. Explain the reasons for the policy and its benefits for both employees and the company. Employees will respond more positively when they understand the reasons for the policy and if they believe that it protects everyones best interests.
Embed videos, GIFs, images, hyperlinks, buttons in your handbook to make it interactive for employees to learn about the company while flipping through the pages. Its also a fantastic idea to add individual photos of your staff with name, description, or even email.
Keep the following recommendations in mind for how to communicate policies and procedures to staff: Inform employees up-front. Ask for feedback. Introduce final product. Ask employees to review employee handbook or policy manual. Provide training where required. Request employee sign-off.
Here are some key steps to consider as you create or update an existing one. #1: Know your history. #2: Identify required policies. #3: Include other must-have policies. #4: Know what policies to avoid. #5: Draft policies that reflect company values. #6: Set the tone. #7: Create an acknowledgment form.
Other ways of communicating policy changes to employees Sending emails to employees. Putting information on your company intranet site. Sharing the policies on your internal social media platforms. Writing letters directly to employees. Having managers discuss the changes at team meetings.
Ask employees to review employee handbook or policy manual Provide employees a chance to ask questions. Distribute the completed handbook or manual to staff, either in a hard copy or advise them how to access the document electronically. Ask employees to provide feedback on improving the document.
The purpose of a signed acknowledgment is to demonstrate that the employee not only has received the handbook but also is responsible for knowing the information contained within the handbook. Employers that have proof that an employee received a handbook may find that it becomes critical in legal disputes.
I acknowledge that I have received a copy of the policy and procedures manual, which describes important information about [Company Name]. I understand that I should consult the Human Resource department if I have questions.
