The process begins with ensuring that Microsoft Exchange integration is set up by the administrator. Users should open Microsoft Outlook and click on the fax icon in the toolbar. They then need to enter the recipient's name, fax number, and optionally, their voice number or company and city. After entering the details, users can either click "done" or "add another" to send multiple copies of the fax. Clicking "done" automatically fills in the address line based on the administrator's configurations.
