hi im casey ive done a whole bunch of videos here on youtube about applying for phd programs and throughout them you will find things interspersed about letters of recommendation who to ask and how to ask etc so in this video i am streamlining all of that information into one video with my general advice about letters of recommendation specifically for phd programs some of this might apply more generally to letters of recommendation as well at least the kind that tend to be written by professors im going to be assuming that at this point theres already a set of people that you can choose from to write your letters of recommendation if you are early enough in the process if you still have some time before youre going to be getting your applications together it is possible that you could still get to know someone new well enough that they could write you a letter if youre in that position both this video and the one about setting yourself up well might have some tips for things th

Be courteous and ask if they have any additional questions or need any additional information from you. It is a good idea to send another polite reminder a few days before your letter is due. Despite good intentions, even the most conscientious of recommenders may occasionally forget about a deadline.
How to Write a Follow-Up Email After No Response Ask yourself if you included a close in your first attempt. Resist the urge to re-send your first email. Dont follow up too quickly. Write a truthful subject line. Start the message with a reminder of your last touchpoint.
Youre allowed to request and get copies of your letters of recommendation unless youve signed a waiver giving away your right to access them (you can still ask for the names of the references).
Luckily, the easiest way to verify that the person signing the letter actually wrote it is to contact them and ask if they recommended the person in question. This isnt always so easy sometimes the person who wrote the letter may have changed phone numbers after switching jobs themselves or is otherwise unavailable.
To follow up, send a polite email asking about the status of the letter. You may also politely remind the writer about the upcoming due date. If you dont hear back from the writer within two or three days, call or visit him or her personally.
Follow up at least one week before the letter is due in person or via email to check in and see if your recommender needs any additional information from you. Ask to be notified by email once the recommendation has been sent, if possible/applicable.
