Dont leave quotes to the end of the release. This might be where you were told to put them but if something is important in a press release, it should come near the beginning. Leave them until the penultimate paragraph and you give the impression that they cant be terribly important.
Put a quota on quotes. To avoid overquoting: Limit quotes to 12% of total word count.
Editing Your Press Release: 9 Tips for Getting it Right Set aside time for editing at the outset. Give it a fresh read, from beginning to end. Revisit the original assignment. Scan for weasel words and buried ledes. Review tone, voice and style. Scrutinize the use of jargon. Trim the superlatives.
Quotes in press releases are a dime a dozen. That in itself isnt a good reason to use them, but chances are, youll want to if youre making a big company announcement. And to be fair, theres no real downside to including a quote so long as youre thoughtful about it.
Keep paragraphs relatively short, two to three sentences, and your overall length to one page. Include quotes from key spokespeople. Within the body of your release, include one to three quotes.
You can shorten quotes by removing words from the middle of the quote and adding ellipses to indicate that you have removed some words. Shortening quotes helps the reader focus on the key information. You can remove words that are redundant or irrelevant to the point you are making.
As a general guideline, quotes should take up no more than 510% of your paper. If in doubt, check with your instructor or supervisor how much quoting is appropriate in your field.
Generally, it is not recommended to use too many quotes, because extensive quoting gives the impression that you dont understand your source enough to put it in your own words and that you cannot contribute any of your own thoughts.
