hi this is Tim grant your five minute QuickBooks professor today talking about how to track customer returns we do this for a couple of reasons one we dont want the customer to claim that theyre going to be returning an item us to give them a credit and then the item not to show up that would be unfair the other reason is just the opposite if the customer does return an item and we dont properly credit their account that can hurt our customer relations so QuickBooks doesnt have a way of specifically tracking those returned items so what we do is use a modified credit memo let me show you how we do that we go to customers credit memos refunds and what Ive done is Ive set up another template for a return materials authorization its simply a form for tracking those returns and when you talk to the customer youre going to give them the credit memo number so that they can put it on their documentation and return it to your company but let me show you how I set that credit memo up it

A credit memo is a posting transaction that can be applied to a customers invoice as a payment or reduction. A delayed credit is a non-posting transaction that you can include later on a customers invoice. A refund is a posting transaction that is used when reimbursing a customers money.
If your customer wants to immediately reduce their current open balance, use a credit memo. Your customer can use their credit memo as payment for an invoice. They can use all of their credit memos or a portion of it. You can apply a credit memo when recording payment for a customers invoice.
Credit memos from a bank are usually in regard that a bank if reversing some sort of transaction in which the bank made a payment it should not have, or the bank may have made a collection upon a note receivable or a certificate of deposit.
Credit memos are issued by the vendor to adjust a previous invoice; to refund an overpayment or adjust for returned merchandise.
If your customer wants to immediately reduce their current open balance, use a credit memo. Your customer can use their credit memo as payment for an invoice. They can use all of their credit memo or a portion of it. You can apply a credit memo when recording payment for a customers invoice.
Heres how you can remove a credit memo from an invoice if it is wrongly applied. To display the transaction history, press Ctrl + H. Double-click the invoice and select Apply Credits. On the Previously Applied Credits window, clear the selection for credit. On the Apply Credits window, select Done.
Unlike a refund, a credit memo does not remit money to the customer. While credit memos can be issued in conjunction with refunds depending on the incident, issuing a credit memo alone does not automatically entail sending the customers money back. Credit memos can be internal or external.
A credit memo is a negative invoice you send to buyers to reduce the price of a previous invoice. Generally, youll issue the memo whenever the buyer has a qualifying reason not to pay the total amount of an invoice. Remember, the memo isnt the same as a refund. A refund reverses the original purchase.
