While working on Word we often face a problem. Many times we want to send a proposal to a new customer. We remember that we have already sent a similar proposal to an existing customer. We open the original file, save it as a new file and search replace the name of the customer. Sometimes the name of the old customer remains and that can create a lot of trouble for you. Here is a brilliant way of using a very nice feature of Word called Fields, so that you never have that particular problem. Instead of manually typing the name of the customer every time what you should do is create a field. Open File menu - Info - Properties - Advanced Properties - the last tab allows you to create custom fields. Im going to create the field called customer name and type the name of one of the customers and just click add. Assume this was your sales proposal. Anytime you need the name of the customer go to this Insert - Quick Parts - Fields. There are a lot of fields, dont get worried. Choose one of

There is never an obligation to give someone a reference. You can politely and diplomatically decline the request without offending the person who asked you. The trick is to do so without making your refusal sound like a personal criticism or a professional rejection.
Make sure to let them know immediately each time you submit their name as a reference, so theyll be ready if theyre called (email is fine for this).
Keep it Short and Simple Say something like, Listen, Im not the right person, or Im not the right fit for this, but good luck, says Speyer, who has faced this conundrum several times. Dont give a laundry list of reasons why you cant do it. Just get in and get out.
Try one of these lines: Thanks for asking, but I dont know enough about your recent professional experience to serve as a reference. Im probably not the best person to give you a strong reference but wish you well in your job search. I appreciate you asking, but I dont feel comfortable serving as a reference.
How to give a reference Confirm what type of reference youre providing. Ask the applicant to confirm whether theyre requesting a character reference or a professional one from you. Collect important information. Consider your answer to potential questions. Answer the reference questions directly. Be positive and honest.
Im docHubing out because Ive been interviewing for a [position name] role at [company], and Id love to list your name as a reference, if youre willing. I thought of you because weve [ways in which youve worked together], and you could speak to my [key skills and abilities needed in the new position].
Be candid. I was surprised to be contacted as a reference, as I dont remember us ever discussing it. Unfortunately, I dont feel I know you well enough to give as strong a reference as you deserve. So, Id appreciate it if youd refrain from listing me in future.
Here are a few examples of people who make great character references: Coworker. Co-volunteer or volunteer leader. Coach. Client or customer. Vendor or business acquaintance. Professor or academic advisor. Personal or professional mentor. Fellow student or graduate from an educational program.
