While working on Word we often face a problem. Many times we want to send a proposal to a new customer. We remember that we have already sent a similar proposal to an existing customer. We open the original file, save it as a new file and search replace the name of the customer. Sometimes the name of the old customer remains and that can create a lot of trouble for you. Here is a brilliant way of using a very nice feature of Word called Fields, so that you never have that particular problem. Instead of manually typing the name of the customer every time what you should do is create a field. Open File menu - Info - Properties - Advanced Properties - the last tab allows you to create custom fields. Im going to create the field called customer name and type the name of one of the customers and just click add. Assume this was your sales proposal. Find and Replace helps you to find words or formats in a document and can let you replace all instances of a word or format. This is particularly handy in long documents. To use Find and Replace, use the shortcut Ctrl+H or navigate to Editing in the Home tab of the ribbon, then choose Replace.
Try it! Select Replace or press Ctrl + H. In the Find what box, type the text you want to search for. Select Find Next to see where the text appears in your file. In the Replace with box, type the text you want. Select Replace to change the text or select Replace All to change all instances of this text in your file.
There are 2 options for replacing text: To replace a specific instance of the found text, select a row in the Matches section, and select the Replace button. To replace all instances of the found text, select the Replace All button.
