you can use Excel to fix some of the common issues that arise with lists of postal codes so lets say youve got a list of inconsistently formatted postal codes like this one appearing in column B and you want to transform that list into a list of consistently formatted five digit postal codes Ill show you some tricks on how you can do that when I first click in cell c3 and Im going to type a formula equals left open parenthesis and then for text Im gonna reference the contents of cell b3 so the first postal code in column B and then for number of characters Im going to enter 5 and hit enter and what this formula told Excel to do was return the 5 leftmost characters from cell b3 and so clearly we only have 4 characters appearing here and so we only got 4 characters back but what I suspect is that theres a leading 0 thats hiding I suspect this is really postal code 0 9 8 4 3 we just dont see that here so more on that later in the video I want to make sure Im retaining the leftmo

Apply a predefined postal code format to numbers Select the cell or range of cells that you want to format. , click the arrow, and then click More Number Formats. In the Format Cells dialog box, under Category, click Special. In the Type list, click Zip Code or Zip Code + 4.
Using the Text to Columns Feature To use this feature, simply select the cells you want to separate and then click on the Text to Columns button in the Data tab. Then, select the Delimited option and click Next. In the Delimiters section, deselect the Comma option and select any other available options.
Try it! Select the cell or column that contains the text you want to split. Select Data Text to Columns. In the Convert Text to Columns Wizard, select Delimited Next. Select the Delimiters for your data. Select Next. Select the Destination in your worksheet which is where you want the split data to appear.
In the field to the right of the first zip code in the list, type the following formula: =TEXT(,00000), where x is the cellname of the first zip code in the list. For example, if the Zip Code column is column F, and the first row of data is in row 2, you will type =TEXT(F2,00000).
