Note: The changes to the Retention Policy will take effect immediately and will delete or retain the mail items forever based on the changes you made. By default, Microsoft Office 365 retains the mail items for disabled locations and users as long as you don't delete them, whether accidentally or intentionally.
Disable Retention Policies from Outlook Web App Click on Mail > Retention Policies. Select the retention policy from the list you want to disable and click the minus icon (–) to remove and disable the particular retention policy.
Remove a retention policy In the message list, click a message. From the Ribbon, select Assign Policy. Under Retention Policy, click Use Folder Policy.
To remove a retention tag from a mailbox, you unlink the tag from the retention policy. When you unlink a retention policy tag (RPT) for a default folder, the default mailbox tag applies to all items in that folder. When you unlink a personal tag, it's no longer available to the user.
Retention tags allow users to tag their own mailbox folders and individual items for retention. Users no longer have to file items in managed folders provisioned by an administrator based on message retention requirements.
The Remove-RetentionPolicy cmdlet removes an existing retention policy. If you remove a retention policy that's assigned to users and they don't have another retention policy assigned, messages in those mailboxes may never expire. This may be a violation of the organization's messaging retention policies.
Remove a SharePoint site from the retention policy Next to SharePoint Sites, select Choose sites. Select the "X" character for the site URL that you want to remove from the policy. Select Done > Save.
A retention policy might permanently delete messages, or it might move them to your Deleted Items folder. If you see a retention policy description that says Delete (Temporarily recoverable) you can use Recover deleted items to recover the messages.
Microsoft 365 retention policies These policies work behind the scenes as a kind of safety net, preventing the complete deletion of content stored in Exchange Online mailboxes and OneDrives (and also Teams chats/posts and SharePoint sites), including end-user deleted items, for minimum periods of time.
