when recruiting have you ever found yourself using offer letter and employment agreement interchangeably i know i have but theres a big difference between the two terms one that could be confusing at best and legally blinding at worse so whats the difference and how can hr protect the employer from such unintended consequences in this episode of hr faq well answer those questions but first lets clarify what we mean by offer letter and employment contract what is an offer letter an offer letter can refer to any communication that employers use to extend a job offer to a candidate if the candidate accepts they will join the company and begin onboarding offer letters may include a number of different details about a given position such as title salary supervisor schedule and expectations of course this isnt an exhaustive list but the main takeaway should be that an offer letter gives a job candidate a much better understanding of the position theyve been offered than what they might

Whenever signing a business contract, use your complete legal business name. If you have incorporated, your business is its own entity and should be treated as such in the contract. Your legal name as an individual should not be listed.
It is perfectly fine to include your preferred name and pronouns on a resume. A resume is not a legal-standing document by any means. The only legal matter you should be concerned about is using your legal name, if different from your preferred name, during the application process for background checks.
The lesson: Unless youre aiming for a position in a law firm, you should use the first and last name you would use when introducing yourself to a client or new associate within your firm. Save your full name for your diploma, a job application and (hopefully) the paycheck from your new employer.
Though you should include your legal name on your resume for official reasons, including the name you wish to be called is customary in the hiring process. So long as you use appropriate and preferred methods for doing so, putting a nickname on your resume is an easy edit to make!
Resumes and cover letters are not legal documents, so it is acceptable to list your preferred name on them. The way that some people do this is by listing the first initial of their legal name, followed by their preferred name (e.g. M. Andrew Smith).
In the cover letter, mention that you have spelled the name correctly in the letter and request them to correct the records before the job becomes official. Mention that you are ready to sign the corrected job offer letter if it is necessary to do so.
In short, you can use your chosen or preferred name throughout your job search, as long as you provide your legal name when it comes time for a background check. (If you dont provide current or prior legal names at that point, it can be seen as lying on the application, and grounds for firing.)
