You can do it using one of these methods: Encrypt email messages. Send encrypted email attachments. Password-protect email attachments. Skip emails and use a client portal.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone. [See the instructions in the Handbook for Safeguarding Sensitive PII.]
All PA and PII data must be marked with the appropriate documentation and covered with a DLA Form 1880, DLA Privacy Act Cover Sheet. 3. All documents must be kept in an enclosed container when transporting them to and from alternate worksites.
Encrypt Sensitive PII stored on CDs, DVDs, hard drives, floppy disks, and other removable media prior to mailing or sharing. Also, ensure that the media is properly labeled. Always verify that the recipient received the information. Note that FOIA requests may require different handling.
Logs act as docHub repositories of sensitive data. When fall into the wrong hands, they can pose substantial security risks. These logs often contain personally identifiable information (PII), financial details, authentication credentials, and other sensitive data.
Encrypt the data over the network (in transit), using sufficient and appropriate encryption (currently TLS 1.2 or greater). Require strong authentication to ensure that both the sender and recipient are who they claim to be.
Personal Identifiable Information is prohibited under DoD 5400.11R (Department of Defense Privacy Program). Contact information should only be an organization or office symbol, general address, and phone number (personal home/mobile numbers prohibited).
Emails Containing PII (in the body or in an attachment): If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted.
