PII is a set of data that can be used to distinguish a specific individual. It could be the users name, address, birthdate, social security number, and financial data. Did you know that PII is often a target for attackers in a data bdocHub because it can be sold at a high value on darknet markets? Oh no, I did not know that! Its important to differentiate between sensitive and non-sensitive PII because sensitive PII like social security numbers and financial data are regulated by a variety of laws depending on where you are located. From your draft email message, click File Properties. Under Settings, in the Sensitivity list, select Normal, Personal, Private, or Confidential.
If CUI is in the attachment(s), it must be identified encrypted. The applicable CUI marking must be included at the top bottom of each email. The email must also have the CUI Designation Indicator (DI) block after the senders signature block. The name of the attached file may contain a CUI indicator.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone. [See the instructions in the Handbook for Safeguarding Sensitive PII.]
Examples of personally identifiable information (PII) include : Social security number (SSN), passport number, drivers license number, taxpayer identification number, patient identification number, and financial account or credit card number. Personal address and phone number.
Send messages attachments confidentially On your computer, go to Gmail. Click Compose. In the bottom right of the window, click Toggle confidential mode . If youve already turned on confidential mode, go to the bottom of the email, then click Edit. Set an expiration date and passcode. Click Save.
If you are sending PII, include CUI in the subject of the email. following CUI. Also include a CUI indicator block after the body of the email. k. If any attachments contain PII, label them as CUI.
If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted. (Note: Digitally signing an email is NOT the same as appending a signature block to the bottom of the outgoing message contents.)
As a general rule, PII should be stored on secure servers. If an ITS employee must temporarily store PII on his or her desktop or laptop computer, it should be encrypted and securely deleted as soon as possible.
