The main advantage of a proforma invoice is that, as its not a finalised sales invoice, you dont need to revise it if there are changes to the goods or services you deliver (unlike a regular invoice). This can save you from needless admin.
As a proforma invoice is not a legally binding document, or the official invoice used for accounting, they do not need to be cancelled. Similarly to a quotation document, if the sale does not go ahead, no action is required to edit or cancel the proforma invoice.
A proforma invoice is also sent to a customer before your products are delivered or your services provided, but it is considered more binding than a quotation although not legally binding like a completed invoice.
However, the difference between a proforma invoice and a PO is their origin: The seller prepares and sends a proforma invoice to the buyer.
The simple answer is no, a payment cant be made on a proforma invoice. However, in order to understand why, the difference between proforma invoices and standard invoices must be understood.
A pro forma invoice is different from a simple price quotation in that it is a binding agreement, although the terms of sale are subject to change. Businesses in virtually all industries use pro forma invoices to satisfy their internal purchase approval process.
In other words, proforma invoices are issued before a sale has been finalised or payment is required. They are commonly used when payment is needed in advance and/or when the chance of a sale is likely.
Like a regular invoice, proforma invoices should include contact details, a date of issue, a description of the goods or services provided, the total amount due, and any VAT. They might also include payment terms such as which methods of payment you accept and when payment is expected.
