Your best bet with storing important documents is a safe deposit box. Most banks or credit unions offer safe deposit boxes. Some banks will offer a discount if youre a current customer as well.
Paper records should be stored between 20C and 24.4C, in an environment with humidity up to 55 percent. Keeping storage boxes away from humidity is critical for preservation. Avoid areas like sheds and attics, due to the irregular temperature and humidity levels.
Meeting Health and Safety requirements There should be enough space to access files without difficulty. Box and lever arch files should be stored standing on shelves, not stacked on floors. Shelves should not be mounted on walls directly above workstations. Boxes and files should never overhang shelves.
Keep the temperature below 75 degrees Fahrenheit (F). Keep the relative humidity (rH) below 65% to prevent mold growth and reduce insect activity. Avoid very low relative humidity because relative humidity below 15% can cause brittleness.
Files should be kept in good order, in a secure location. Those containing confidential or personal data such as staff and student files must be stored in lockable units, and should not be left on desks overnight or in view of visitors.
Store your papers upright. For optimal efficiency, its crucial to store papers in a hanging-file system. Put each category of papers in a separate folder and store them in a filing cabinet or upright in a filing box placed on a shelf. Storing them this way makes it easy for you to see how many papers you have.
Store items at a low temperature and a low relative humidity The lower the temperature the longer your items will last, because cooler temperatures slow the rate of chemical decay and reduce insect activity. Keep the relative humidity (rH) below 65% to prevent mold growth and reduce insect activity.
Caring for Your Paper Documents Store papers in a cool, dry, dark environment. Heat and humidity can cause paper to become brittle or moldy, and light can cause fading or yellowing. Store papers in archival containers. Boxes, paper sleeves, folders, or mats should always be preservation quality.
