The commercial invoice is one of the most important documents in international trade and ocean freight shipping. It is a legal document issued by the seller (exporter) to the buyer (importer) in an international transaction and serves as a contract and a proof of sale between the buyer and seller.
The invoice should preferably be printed on paper with a company letterhead. The information must be in English and include your company details, such as the address, contact details and tax number. Youll also need to include the same details about the receiver.
There are several ways to create an invoice. Many businesses use a document creation app like Microsoft Word or a spreadsheet to make invoices from scratch or from a limited set of pre-installed templates. Other businesses use invoice templates available online.
The Commercial Invoice must be completed in English. Three copies must accompany the shipment. Make sure all of the following information is filled out completely and accurately.
Date: The date you sent the package. Invoice Number: Your own invoice number. Customer PO No: Reference or order number of your sale. Currency Used: The currency you used when filling in the document.
FedEx requires one original commercial invoice with three copies, all individually signed. We also recommend that you put a copy inside one package.
Change your settings in QuickBooks so you can create commercial invoices. Go to Settings ⚙, then select Configuration. Select the App Settings tab. Select the Turn on international commerce features checkbox.
Normally you need to add three copies of the commercial invoice: one for the country you are exporting from, one for the country you are shipping to and one for the recipient.
It helps to determine customs duties to be paid. It helps you to avoid any customs delays and deliver your shipment smoothly. Without a commercial invoice, you are unable to ship overseas.
