Payments an employer made under an accountable plan may be excluded from the employees gross income and are not reported on Form W-2. However, cash advances, allowances and reimbursements that do not fall under the accountable plan rules become wages subject to the reporting rules.

Select the expense report line item to be itemized. Once selected, click Itemize. This directs to the Itemize screen. The expense report line item total amount appears in the top right hand corner.

Employees must return to the employer amounts in excess of substantiated expenses within a reasonable time. The return should be made either from a periodic (within 60 days of travel) statement or at fixed date (quarterly if on perpetual travel status).
Under the TCJA, reimbursements for moving expenses made to employees or paid directly to third parties on and after January 1, 2018, and through December 31, 2025, are included in wages subject to federal income tax (FIT), federal income tax withholding (FITW), Social Security/Medicare (FICA) and federal unemployment
