Passwords should be a minimum of eight characters in length although the longer the password is, the harder it becomes to crack in a brute force attack. Enforcing the use of complex passwords requiring a mix of upper- and lower-case letters, numbers, and special characters.
As weve demonstrated in this post, password-protected PDF documents are not a sign of HIPAA compliance.
The first thing to realize is there is no such thing as a HIPAA compliant password manager. In this case, HIPAA compliance is determined by how the password manager is used, not by the application alone. But there are standards required by HIPAA that must be present in a password manager to be compliant.
These regulations effectively stipulate that password sharing is a violation of HIPAA because if one healthcare professional shares their login credentials with another, it is impossible for Covered Entities to track user identity.
There is no further guidance about HIPAA password requirements. The reason why HIPAA is not more specific about passwords is to ensure legislation does not need to be updated every time there is a change in password and security best practices.
Use different passwords on different systems and accounts. Dont use passwords that are based on personal information that can be easily accessed or guessed. Use the longest password or passphrase permissible by each password system. Dont use words that can be found in any dictionary of any language.
Password Best Practices Never reveal your passwords to others. Use different passwords for different accounts. Use multi-factor authentication (MFA). Length trumps complexity. Make passwords that are hard to guess but easy to remember. Complexity still counts. Use a password manager.
Passwords are just one element of HIPAA security requirements a more comprehensive HIPAA security guide is available here. One of the ways to improve password security and stop employees from engaging in insecure practices such as writing passwords down is to use a password management tool.
