1 Do some research. Before you write your letter, try to find out who will be reading it. 2 Use a formal title. 3 Use a generic salutation. 4 Use a gender-neutral salutation. 5 Use a professional tone. 6 Proofread your letter. 7 Heres what else to consider.
As a last resort, you may use anonymous phrases such as To Whom It May Concern or Dear Sir/Madam. Of these two options, we recommend To Whom It May Concern, as best of the bad bunch of anonymous greetings, since it is gender-neutral..
For the salutation, Dear [name]: is most common, although some writers choose to omit Dear. Do your best to identify the name of the person to whom youre sending the letter; To Whom It May Concern is outdated. If you dont know the name, you can use the persons title (e.g., Dear Hiring Manager).
Addressing an Unknown Recipient To maintain a professional tone, one may utilize expressions like Dear Sir/Madam or To whom it may concern when the recipients name is unknown. Though these generic salutations can come across as rather old-fashioned and impersonal, they are still an appropriate greeting.
If you cannot find the name and title of the recipient, you can use a generic salutation instead. A generic salutation is a general way of addressing a person or a group of people, such as Dear Sir or Madam, To Whom It May Concern, or Dear Hiring Manager.
The address of items sent to general delivery must indicate the addressees full legal name (see Note above) and the city and country of destination. The use of just initials, simple given names, fictitious names, or figures is not permitted on articles addressed for general delivery.
The salutation of a formal email is similar to the salutation of a letter. When writing to someone you do not know by name, you put To Whom it May Concern. When applying for a job, you would address the person by, Dear Hiring Manager. If you do know the recipients name, you put Dear Mr./Ms.
