Include details on how the payment was made, the amount owed, the payment received, and any remaining balance due. After completing the receipt, sign at the bottom. Retain the yellow copy for your records and provide the white copy to the customer.

Are notaries required to keep a journal? Yes. Beginning January 25th, 2023, all notaries, including those notaries that only provide traditional in-person services, are required to keep a journal of all notarial acts performed which includes the type of identification provided, for 10 years.
It is an important tool that provides a written record of the Notarys official acts. It contains details of the transaction in the event a docHubd document is lost, altered, or if facts concerning the notarization are challenged in court.
You will need to complete a full journal entry for each of the 20 documents.
In California and Texas, this is four years, at which point the notary must renew his or her commission with the Secretary of State. Just because the commission seal date has expired, however, doesnt mean the docHubd document is invalid.
California requires its Notaries to keep all completed journals as long as they maintains a current Notary commission. California Notaries whose commissions end without being renewed must turn in their journals within 30 days to the county clerks office where their oath of office is on file.
Every entry in a Texas Notary Public Recordbook is required to contain: The date of the document being signed. The date the notarization occurred. Brief description of the document. The name of the signer (or person whos signature or mark you are notarizing) The address of the signer.
How Many Journal Entries Do I Need if One Person Signs Multiple Documents? You must record a separate journal entry for every signature you docHub with all required informational elements for the entry.
Note: the printed name and address of the signer are not required to be entered into the journal. Best Practices Tip: For good business practice, it may be prudent to include these for future lawful inspection.
Effective July 1, 2011, the Los Angeles County Registrar Recorder/County Clerk shall begin collecting a $10 journal surrender fee at the time of surrender pursuant to Los Angeles County Code 2.32. 202. Notary Journal surrenders can be submitted to any of the District Offices or Norwalk.
For most states with journal requirements, entries generally include some variation of date and type of notarization; type of document; name and address of the signer; and how the signer was identified.
