When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone. [See the instructions in the Handbook for Safeguarding Sensitive PII.]
Sending personal data by email. Another common method of sharing information is by email. By necessity the TO, FROM, DATE and SUBJECT fields of an email are transmitted in plaintext and may be accessed by any unintended recipient or third-party who intercepts the communication.
If you are sending PII, include CUI in the subject of the email. following CUI. Also include a CUI indicator block after the body of the email.
send emails that include personal identifying information, or emails that include attachments with PII? Answer: Email should NEVER contain any PII in the subject line or body of the email; even if it is being accessed on the secure WIPA laptop. If there is a need to send PII, it MUST be in an encrypted attachment.
Emails Containing PII (in the body or in an attachment): If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted.
Sending PII to other (non SSA/TPM) email addresses If EN employees are using the ENs own or any other non-SSA email system (e.g., Yahoo!, Gmail), they may send email messages transmitting PII only if the PII is entirely contained in an encrypted attachment.
Best Practices for PII Security: 6 Simple Steps Identify the PII your organization uses. Locate where PII is stored, and where it moves. Classify PII in terms of sensitivity. Govern access to PII and establish an acceptable usage policy. Implement an encryption solution. Back up your solution with training.
Limit the information you include in an email to the minimum necessary for your clinical or billing purpose. Whenever possible, avoid transmitting highly sensitive PHI (for example, mental health, substance abuse, or HIV information) by email.
