Hi everyone. My name is Kevin. Today I want to show you how you can use mail merge to create address labels. So, what do I mean by that? Well, imagine that you have a list of addresses. So maybe in Excel or in Outlook, you have a list of maybe 30, 50, 60, maybe even hundreds of addresses and you want to print each one of those addresses onto an address label. Well, one way to do that is you could create a new address label sheet in Microsoft Word, and you could go through, and you could copy and paste each address into one of the labels and then you could print it out. But that sounds really painful and thats also going to take a long time. Today Im going to show you how you can use mail merge in Word to greatly simplify that task. --Use common sense. If you cant read the address, then automated mail processing equipment cant read the address. --Some types of paper interfere with the machines that read addresses. The paper on the address side should be white or light in color.
Shipping labels do not necessarily have to be white in color. There are multiple colors that have been approved for use. Some of them are red, blue, green, orange, tan, yellow, gray, purple or pink. However, the print should always be in black.
The USPS says: All USPS shipping labels should be printed in black ink on a white background with the exception of the additional information and user section which may include color if desired. However, it is not a hard rule and AFAIK as long as the label is machine readable it wont be a problem.
Re: Is it OK to print shipping labels on colored paper? You can use it as long as it is legible. There is no rule that says it has to be white.
The online shipping labels can easily be printed on regular 8 1/2 x 11 paper or, if they prefer, self-adhesive labels. So no special equipment or supplies are needed.
Can I use lined paper for my shipping label or paper printed on one side? The lines in the paper could interfere with the barcode so it is advised against using lined paper. Its also not a good idea to use scrap paper that has been printed on one side for shipping labels.

If you have a regular desktop printer, you can print either 1 or 2 labels per standard letter-size 8.5x11 paper. You can use regular paper, and simply cut the excess paper and tape it to your packages, or you can purchase half-sheet sticker paper, which can simplify the process.
