Employers can use the SSAs online Social Security Number Verification Service to verify that employees names and SSNs are accurate with the SSAs records. If discrepancies are found, the SSA provides a sample letter (SSNVS) that can be used to help employers and employees correct the issue.
If you receive a corrected name or SSN from the employee after you filed the Form W-2, submit a Form W-2C to make the correction. Enter the name on the Form W-2 as shown on the employees Social Security card. Connect parts of a compound name with either a hyphen or a blank space.
To correct a Form W-2 you have already submitted, file a Form W-2c with a separate Form W-3c for each year needing correction. File a Form W-3c whenever you file a Form W-2c, even if you are only filing a Form W-2c to correct an employees name or Social Security number (SSN).
Call the IRS toll free at 800-829-1040 or make an appointment to visit an IRS Taxpayer Assistance Center (TAC). The IRS will send your employer a letter requesting that they furnish you a corrected Form W-2 within ten days.
E-Verify. A case cannot be created in E-Verify without an SSN. If a newly hired employee has applied for, but has not yet received his or her SSN (e.g., the employee is a newly arrived immigrant), attach an explanation to the employees Form I-9 and set it aside.
While not required, SSA provides a service for employers to verify a name and SSN for wage reporting purposes when you want additional assurance of an employees correct name and SSN.
The employer is instructed to provide correct information to the SSA within 60 days. An employer may be fined $50 by the IRS for each time incorrect information is provided. The IRS may also levy a $50 fine on any employee who does not furnish a correct SSN to his or her employer.
If your employment records are incorrect, correct your records and resubmit the corrected data. If your employment record and the employees Social Security card match, ask the employee to check with any local Social Security Administration (SSA) Office to resolve the issue.
