Sending PII to other (non SSA/TPM) email addresses If EN employees are using the ENs own or any other non-SSA email system (e.g., Yahoo!, Gmail), they may send email messages transmitting PII only if the PII is entirely contained in an encrypted attachment.

Include the subject line: FOUO: PRIVACY SENSITIVE. Include the attachment file name (if any): FOUO: PRIVACY SENSITIVE. Include in the body of both the email and the attachment (if any): FOUO: PRIVACY SENSITIVE. Any misuse or unauthorized disclosure may result in both criminal and civil penalties.
Sending personal data by email. Another common method of sharing information is by email. By necessity the TO, FROM, DATE and SUBJECT fields of an email are transmitted in plaintext and may be accessed by any unintended recipient or third-party who intercepts the communication.
When emailing Sensitive PII outside of DHS, save it in a separate document and password-protect or encrypt it. Send the encrypted document as an email attachment and provide the password to the recipient in a separate email or by phone.
If the body of the email contains PII, the top and bottom of the email must include the marking CUI, and it should include a CUI indicator block. Must be digitally signed and encrypted. (Note: Digitally signing an email is NOT the same as appending a signature block to the bottom of the outgoing message contents.)
No, you should never send PII over email. However, if you must send PII over email, it needs to be encrypted and certain security protocols must be met to ensure that if its intercepted, the PII wont be readable.
From your draft email message, click File Properties. Under Settings, in the Sensitivity list, select Normal, Personal, Private, or Confidential. The default value is Normal. Select Close.
