A pro forma invoice is a quote in an invoice format that may be required by the buyer to apply for an import license, contract for pre-shipment inspection, open a letter of credit or arrange for transfer of hard currency.
A final sales invoice (also called a commercial invoice, final invoice, or official invoice) is a business instrument that states the total amount due and requests payment. A proforma invoice is a declaration by the seller to provide products or services in the future and isnt a legally binding agreement.
Just remember to properly label it as proforma and make sure it doesnt contain an invoice number, as this will change what is an informal document into a binding one. A payment due date and exact date of delivery are also not required.
Once the buyer receives the proforma invoice, they can negotiate the terms of sale, such as an early payment discount. If ABC Clothing accepts these terms, they will send an updated proforma invoice for both parties to agree on as a good faith estimate; only then do they begin production.
The pro-forma invoice is issued before sales takes place. Once after receiving pro-forma invoice from the supplier, the buyer sends a purchase order or opens a letter of credit to the supplier.
Note: only after a pro forma invoice is converted into a true invoice will its value be registered in your account. This is because, until that point, there is no guarantee the customer will agree to your terms.
A proforma invoice includes a description of the goods, the total payable amount and other details about the transaction. It is essentially a good faith agreement between you (the seller) and a customer so the buyer knows what to expect ahead of time.
A pro forma invoice is a preliminary document that outlines the terms of sale when an order is placed. Although it is not final, a pro forma invoice should give the buyer a clear understanding of the terms of sale, including the price, date of delivery, and any additional fees.
A proforma invoice is also sent to a customer before your products are delivered or your services are provided, but its considered more binding than a quotation although not legally binding like a completed invoice.
