Show or hide categories in the navigation pane It just allows you to see a shorter category list. On the Outlook menu, click Preferences. Under Personal Settings, click Categories. Under Show in Navigation Pane, select or clear the check boxes that you want.
Outlook on the Web Select the calendar you want to hide. Click the three dots to the right of the calendar name. Click Sharing and Permissions. Next to People in my organization select Not Shared to not share any information, or click Can view when Im busy for others to see times you are available.
If you have an Exchange, Microsoft 365, or Outlook.com account, you can send a sharing invitation to other users so they can view your calendar in their own Calendar list. Calendar sharing isnt limited to the default Calendar folder that is created in all Outlook profiles.
Once the meeting or appointment has been sent or saved, navigate to the entry within your calendar. If the entry was made private, a padlock icon will now be displayed beside the subject.
Making an appointment private will make the contents of the appointment only visible to you and an individual with specific permission to view private entries within your calendar.
Create or open the appointment or meeting that you want to make private. On the Meeting or Appointment tab, click Private. Save or send your meeting or appointment as usual. Any meeting attendees will be able to see the details of the meeting.
To do this, select the item on your Calendar or double click on the appointment or meeting to open it in its own window and choose: In the Tags group on the Appointment or Meeting tab, click the Private button with the lock icon (next to the Categorize button).
