You should be careful about sharing your number, even when youre asked for it. You should ask why your number is needed, how itll be used, and what will happen if you refuse. The answers to these questions can help you decide if you want to give out your Social Security number.
To change the preference, start on the QuickBooks menu and pick Edit | Preferences | Payroll Employees | Company Preferences. Then, at the very bottom of the window, de-select the option labeled Display employee social security numbers in headers on reports.
You can enter zeros as a temporary SSN. If your employee has a Tax Identification Number, or TIN, you can also use that.
To do this, create a new column containing the formula =*** - ** - RIGHT(B2,4), to insert asterisks and dashes along with the last four digits of each employees Social Security number, as illustrated in column C below. Once completed, you could then hide column B and print the desired report.
Heres how: Go to the Edit menu and then select Preferences. In the Payroll Employees section, select Company Preferences. Click on Pay Stub Voucher Printing. Uncheck the Employee social security number and then check the Only the last four digits of SSNs and bank account numbers box. Then click OK to save.
