Notify your vendors as soon as possible. The earlier you let them know, the more likely they will be able to fill that date with another event and potentially refund your deposit. Please note that this is NOT guaranteed, as you have signed contracts that state non-refundable deposits.
The client should be upfront and honest, explaining the reason they arent able to work with that vendor. Whether its because theyre no longer having a destination wedding, the dates dont work, finances, or something entirely separate, communicating the main issue is key.
You might lose the money youve paid if you dont have cancellation insurance, and youll need to find a new venue. If you did purchase wedding cancellation insurance, start a claim with your insurer right away. If the policy provides coverage for your situation, you can use those funds to book a new venue.
Below are the basics any venue contract should have. Client name(s), wedding date and start and end times of the event. Exact names of the specific rooms being used at the venue. A detailed description of the venue space including any amenities like a stage, bridal room, etc.
You can sue the venue for a return of any money that you put down and any damages that you have due to the issue with the venue and the date.
Decide Whether its Postpone or Cancel. Before you start making calls or emailing your guests, its important to decide if youre postponing your wedding, or cancelling it completely. Check the Cancellation Policy in your Contracts. Hand it Over to a Friend. Tell All Your Suppliers. Tell All Your Guests.
Whoever signed the contract with each vendor is usually responsible for paying the bill.
If your cancellation policy says that if a client cancels their wedding six months or less before the date, then you get paid your entire fee, then you have to make sure that the cancellation provision in your contract says that both your interim payment and final payment will be due.
