To change the Outline level without messing up the rest of the formatting, select the text and then type SHIFT + ALT + left/right arrow.
On the Home ribbon, in the style section, look for Normal. Right click on Normal, then select Modify. Review the settings. Make adjustments as needed in the Modify Style window, or by clicking on Format Font or Format Paragraph for more details.
Tip: You can change the font and formatting of a heading style. Just select the heading text you want to customize, modify its styles the way you want, and then on the Home tab, in the Styles group, right-click the heading style that you customized and click Update Heading to Match Selection.
Headings are single words, short phrases, or complete sentences that cover all of the material under it until the next heading. Headings tell the reader what to expect in each section.
Modify an existing style Select text in your document that has the style applied, such as Heading 1. Format the selected text with the new attributes that you want. On the Home tab, in the Styles group, right-click the style that you want to change, and then click Update [Style Name] to Match Selection.
Headings communicate the organization of the content on the page. Web browsers, plug-ins, and assistive technologies can use them to provide in-page navigation.
Headings should follow a sequential, descending order, and shouldnt skip a level. Numbers are used to represent the heading level where 1 is the highest level and 6 is the lowest subsection. Most technologies, including screen readers, are limited to six levels of headings.
Headings allow readers to browse content by topical groups, and provides context for users working through lengthy content. Users are much more likely to discover topics of interest if they are marked with a heading. This structure is especially important for screen reader users.
To fix incorrect heading order errors, you will need to either change the incorrect heading level to the correct heading level, or add content with the correct heading level in between the two already existing levels.
A case in point is Words ability to restrict editing to allow only certain styles to be used when formatting the document. (Display the Review tab of the ribbon, click the Restrict Editing tool (in the Protect group), and then click the Limit Formatting to a Collection of Styles check box.)
