The Recipient Name is just the full, formal name of the person whos meant to receive whatever youre sending; whether thats an email, a letter, or a package.
Press CTRL+K. Ctrl+K is a shortcut for the Check Names button, also on the toolbar when youre composing a message. Check names will look at the characters youve typed so far and compare them to your address book entries. If theres only one match, it completes the entry.
The recipient is the person the mail is addressed to. In the case of registered and certified mail, the sender can ensure that only the addressee can sign for the mail. With other mail, it will be delivered to the address indicated, and anyone can pick it up from the box (or sign for it, if required).
Verify Auto-Complete Settings in Outlook: Open Outlook. Navigate to File Options. Select the Mail tab. Ensure that the option Use Auto-Complete List to suggest names when typing in the To, CC, and BCC lines is checked.
Outlook builds the Auto-Complete List by saving the names and addresses of recipients in email messages youve previously sent. As the list grows, so does the number of suggestions that are offered as possible entries. The AutoComplete list for Outlook is specific to Outlook and is not shared by Outlook Web App (OWA).
Addressing an Unknown Recipient To maintain a professional tone, one may utilize expressions like Dear Sir/Madam or To whom it may concern when the recipients name is unknown. Though these generic salutations can come across as rather old-fashioned and impersonal, they are still an appropriate greeting.
Automatically add a signature to a message Select Settings at the top of the page. Select Mail Compose and reply. Under Email signature, type your signature and use the available formatting options to change its appearance. Select the default signature for new messages and replies. Select Save when youre done.
Enable the AutoComplete feature On the File menu, select Options. Select the Mail tab. Scroll approximately halfway down until you see Send messages. Make sure that the Use Auto-Complete List to suggest names when typing in the To, Cc, and Bcc lines box is checked.
