[Music] hi my name is Gordon from gimme Oh today Im gonna explain to you the differences between the HTML the rich text and the plain text email formats more specifically when youre using these formats with email signatures and which one is the better one to use for you so we start off with the HTML format first the pros of the HTML format is they use hyperlinks it allows you to use embedded or hosted images it lets use different fonts styles and colors and all that sort of stuff and it also lets use HTML tables so most you know HTML signatures that you see out there will have table HTML tables and code itself which will have you know different heights and whits and basically it lets you adjust their signature to exactly how you want it to be and in addition it also lets use you know most of the HTML attributes which is you know a href spans CSS styles and all that sort of stuff yes so in terms of cons its 1:1 con which is not a huge one but it can cause problems when youre creat

Click on Format Text in the Menu bar. Under the Format Text, you will get an option to toggle between HTML text, plain text, and Rich text. You can choose the HTML option and then send your email.
On the File tab, choose Options Mail. Under Compose messages, in the Compose messages in this format list, click HTML, Rich Text, or Plain Text.
Before you start. Heres a few things you should know about plain text emails: You cant control text size to make headings stand out, or emphasize words with bold, italic or colored fonts. Its not possible to include images or use hyperlinks in plain text emails.
You can apply the following settings to forward the message in HTML format: Settings - Preferences tab - Composing Messages - Compose HTML messages - Select on forward or reply to HTML message under Compose HTML messages and save.
Always reply in HTML format automatically with Kutools for Outlook Click Kutools Fixed Formatting Fixed Reply Formatting Set Reply Formatting. In the Set Reply Formatting dialog box, select the HTML option and then click the OK button.
You can use Rich Text Format in your emails when youre sending emails within an organization that uses Microsoft Exchange. Its an optional format and users are always recommended to use HTML format. If you send emails outside the organization, the email format is converted to HTML by Outlook automatically.
If you need advanced functionality with flexible styling options or you want to use a fancy email signature, use the HTML format. If youre only looking for adjustable text options, such as italics or bolding, use the Rich Text format. When you just want text and no other options, you can use the Plain Text format.
When you reply to or forward a message, you can go to Format Text on the Outlooks ribbon and click HTML. Mind you, this option is unavailable if you are composing your reply in the message preview pane. You need to open your reply or forward in a new window by clicking the Pop Out button.
