Dont use informal language. Memos, by their nature, need to be written in a professional manner. As such, do avoid colloquial language. Be succinct.
The format of a memo follows the general guidelines of business writing. A memo is usually a page or two long, single spaced and left justified. Instead of using indentations to show new paragraphs, skip a line between sentences.
All memos should include the following: Write a heading. No matter what kind of memo youre writing, youll need to include a heading. Write an introduction. Provide background on the issue. Outline action items and timeline (Optional). Include a closing statement. Review and proofread before sending.
There should be no more than one or two sentences in the last paragraph (depending on the topic of the memo). Let the facts speak for themselves. It is up to the reader to come to a conclusion. Most memos end with a short summary and recommended action, but this generally depends on the company policies.
A memo uses 11.5 line spacing with double spaces between the heading and paragraph and also between paragraphs. The tone of the language is generally formal: Rather than using contractions, use the longer form, e.g. cant cannot.
Dont Show Off. Avoid Smothered Words. Dont Be Trite and Dull (be Unique). Visualize the Reader (write for the reader, not for yourself).
A memo consists of two parts: the identifying information at the top, and the message itself. At the top, identify for whom the memo has been written, who is sending it, the subject, and the date. The subject line serves as the memos title.
Most longer memos consist of an introduction, a discussion, and a conclusion. In the introduction, tell readers what prompted you to write (such as a problem or question about a specific procedure or policy), and provide any necessary background information.
