Subject Line in a Business Letter There are three common methods to distinguish the subject line from the body of the letter: Use Subject: or Re: Type the subject in bold letters. Type the subject in capital letters.
The Additional Notation A number of situations call for a business letter to be marked with notations signifying those situations. These notations should be placed two spaces below the position or title line following the writers printed signature.
Leave an extra line between the date and the receivers address, and it should be on the left margin. You should include the name of the person you are sending the business letter to, including their name prefix.
For a paper business letter, notations go three lines below your signature or one line under the typists initials. Enclosure notations in an email are useful to describe and remind the receiver of your email attachments. They also inform the reader that something is missing if you forget to attach a file, for example.
Special Notations When necessary, letters may include notation of the means of delivery (Certified Mail or Registered Mail) or on-arrival instructions, such as Personal (to be opened and read by the addressee only) or Confidential (for the addressee or other authorized personnel).
A mailing notation is used to indicate either how the letter was sent registered, certified or how the letter is to be handled confidential, personal. The notation may be typed in capital letters or underlined and can be placed at the top or bottom of the letter.
Yours truly, Sincerely, or Sincerely yours are common endings for professional letters. Capitalize the first letter of the first word of your complimentary closing, and end the complimentary closing with a comma. Four lines below the closing phrase, write your full name.
The RE is a part of the letter NOT a part of the address. The ATTENTION LINE goes after the address. The SUBJECT LINE (or Re line) goes after the salutation. That is the proper business letter setup.
